TRAINING  OVERVIEW:

Designed by seasoned project managers for project managers, this 3-day seminar steps through the full life cycle of information technology (IT) project management. Targeted for serious IT project managers who need to handle tough projects, this training covers the basics of project management, including requirements writing, work breakdown structures, and planning techniques, then introduces phase/gate reviews, work packages, risks and other advanced topics. Learn to develop strong cross-functional teams, create solid project scope statements, handle changes and scope-creep, and keep your senior management support. And the training incorporates *PMBOK© GuideAligned.

WHO SHOULD ATTEND THIS TRAINING?:

This workshop is specially designed for:

Project managers who wish to control their budget better, or project financial staff who need a better understanding of project costing and budgeting, Project Leader, Project Team Members, etc.

 

PREREQUISITES:

General knowledge of project management or financial accounting

TRAINING OBJECTIVES:

At the end of this workshop, the participants will be able to:

  • Accurately determine the costs of each individual activity in the project
  • Create a baseline budget for management signature
  • Identify management reserves needed to compensate for project risks
  • Accurately track and manage costs during the project
  • Understand how Earned Value Management can accurately identify progress

TRAINING MATERIAL OUTLINE:

DAY 1:

1.      Overview of Project Management

In this module the participants will learn an overall approach to managing projects. This will provide the context for developing and managing the project budget. Topics will cover:

  • Basic definitions
  • Common project management processes
  • Project phases and life cycles
  • Project deliverables
  • Roles and responsibilities

2.      Developing the project schedule

In this module we will create the overall project schedule and learn how the budget is tied to each individual project activity. Topics will cover:

  • Creating the work breakdown structure (WBS)
  • Defining the activities
  • Adding resources
  • Estimating activity durations
  • Developing the schedule

Exercise: Participants will be given a simple list of project activities and, in teams, develop the detailed schedule from it.

DAY 2:

3.      Developing the Project Budget

Here the participants will learn how create both high-level budgets at the beginning of the project and the detailed budgets that are necessary for project control.

Topics will cover:

  • Top-level budgets
  • Detailed budgets
  • The S-Curve
  • Personnel costing
  • Materials and equipment costing
  • Adding in overhead
  • Management reserves

Exercise: Participants will use the previously-created detailed schedule to create the budget for the project, including the costs of personnel, equipment, materials, and overhead.

4.     Controlling the Project Budget

In this module the participants will learn the necessary steps to controlling and managing the project budget. Topics will cover:

  • Identifying and managing hours worked
  • Tracking equipment and materials costs
  • Weekly budget reports
  • Work packages and control accounts
  • Control Account Plans (CAPS)
  • Estimates to Complete (ETC) and Estimates at Completion (EAC)

Case Study:

The participants will be given the details of a real project that went considerably past its planned budget and define the reasons for the cost overruns.

 

Exercise:

Developing CAPS for a sample project, including measurement points and tying the CAPS into the organization’s overall accounting system.

DAY 3:

5.      Earned Value Management

In this module the participants will learn that for large, complex projects the most accurate way to track progress is through Earned Value Management. The participants will learn:

  • What is EVM?
  • Cost and schedule variances
  • Cost and schedule performance indices
